FIS SKI CONGRESS – 25-30 May 2008

INHOUSE Venue Technical Management (IVTM) was appointed sole technical supplier to the 2008 FIS Ski Congress in Cape Town. The Congress centred around two of the Venues for which IVTM holds preferred supplier status contracts, namely the Westin Grand Cape Town Arabella Quays and the Cullinan Hotel. In-house technical teams were kept very busy both at the venues and at the final meeting of the Congress at the Cape Town International Convention Centre. Fortunately, IVTM had been in contact with the client since early 2007 and had been involved in the technical planning from the outset which meant that any technical hiccups had been resolved prior to get-in.

The purpose of the Congress was to elect the host countries for the various disciplines in world skiing including the 2012 & 2013 Alpine and Nordic World Championships. The proceedings took the form of four large events spaced out around a large number of smaller meetings. IVTM supplied a variety of technical setups ranging from standard single data projectors for the small meetings to the full technical element required for the twelve exhibition stands erected in the Old Harbour Lobby of the Westin Grand Hotel.

Space for the exhibition was tight but the INHOUSE team managed to accommodate everyone’s needs and much care was taken to ensure that everyone achieved what they wanted and that the countries were showcased effectively. Elisabeth Grogl, of the Schladming delegation from Austria complimented IVTM at the conclusion of the exhibition, “Thank you once again for all your efficiency, understanding and support, especially the last minute wooden floor which made me very happy and contributed a lot to the ambience of the Schladming booth!” Schladming was one of the successful candidates at this year’s congress, and was not the only delegate to highlight the success of the exhibition as a whole.

A host of breakaway meetings took place over a 4 day period, focused mainly at the Westin Grand but moving over to the Cullinan on occasion. The Candidates Presentations to the FIS Council took place during the day in the Ballroom at the Westin Grand and offered many challenges for IVTM who dealt with several different presentation styles from various countries and a variety of technical requirements including elements from Sound, Lighting, Audio Visual and Staging.

Thereafter IVTM was under pressure due to the very short turn-around time available to get the room ready for the Announcement Cocktail in the evening which was to make use of live Web Streaming including a live satellite uplink with Austria and Italy, (both of which were successful in their bids), with a camera relay of all events to screens in the room. Despite the time constraints, the INHOUSE team were ready in good time for the evening event and it ran efficiently and professionally.

CTICC was the venue for the FIS Congress which required Simultaneous Interpretation into three languages from the floor language of English. The Gala Dinner concluded a very well received and challenging week for both the delegates and the IVTM team. Madeleine Erb, Secretary to the Secretary General, commented that she had never had an FIS Congress run so smoothly before.

IVTM Cape Town’s foray into Winter sports proved a very positive experience for IVTM and was a challenge for the organising skills of all concerned, but proved a very rewarding week of events.
