Ever wondered what goes on behind the scenes of your event to make everything happen as it should? INHOUSE Venue Technical Management's busy operation not only has satellite venues in a variety of key venues, all of which are simultaneously facilitating events; but also has a core crew providing conference and event technology and IT rental services to non-contracted clients or other companies within the Gearhouse group. While clients rely on the frontline support of IVTM technical crew at the event, the real backbone of the operation is the Hiredesk function.

IVTM's Head Office in Cape Town functions as a hub for information passing through on a daily basis to ensure smooth operations for all events happening within the company. "We see ourselves as part of a revolving wheel consisting of Accounts, Admin, Workshop and Operations' says Hiredesk Manager, Bobby Mann. "Each element complements the other and the process flows smoothly from one department to the other, keeping the wheel turning and producing flawless events."

The Administrative team is the first "pitstop" for each new job and as such the team is intensely focused on improving administrative systems for the betterment of the final product. From the initial enquiry, through confirmation, job preparation, dispatch and return, these busy souls manage all the administrative elements.

The company operates within three different areas of expertise; Venue Technical Management, Conference & Event Technology and IT Rental. The administration of all three areas is channeled through the Hiredesk, including

  • Facilitation of additional equipment requirements for venues in which INHOUSEVTM are the preferred technical suppliers.
  • Support for sister companies in terms of additional equipment or service provision e.g IT rental services.
  • Technical supply for the Conference & Event Department, which is facilitated out of Head Office.
  • Substitution and subhire of equipment shortfalls.

"We are involved all the way through from generating the quotation and raising the purchase orders to putting the job "to bed" with a comprehensive job-cost analysis at the end," says Mann. "We may not always see the end result, but in our industry there is such a range of variables that merely coming to work brings its own set of daily challenges and thrills".

2008 saw the opening of IT Sales which also falls within the ambit of the Admin department. INHOUSE VTM is now the appointed buying agent for IT equipment for the Gearhouse group of companies. This means that INHOUSE VTM is able to negotiate on behalf of the group, resulting in substantially lower costs for their clients.

Mann believes that it takes a special character type to fulfill the administrative function with the requisite dedication and attention to detail. "We consider ourselves to be extremely competent professionals who nonetheless constantly strive to achieve more. We know that our clients get exactly what they require and that that is in no small way due to the Admin team. We may be extremely busy, but I've never heard anyone complain of being bored" he laughs.
